Indexing Scan Types and Options

X1 Search Terminology

There are three primary types of scans that X1 Search attempts to perform: Initial; Delta; and Incremental. 

Initial and Delta scans apply to all data sources (Files and Email), while Incremental scans are only applicable to email data sources (Outlook, Gmail, Yahoo, IMAP, and so on).

  • Initial Scans - Only initiated when X1 Search is initially installed (or detects an empty index). X1 Search attempts to scan and process all the files and emails in the configured indexing locations. This is the most resource intensive and comprehensive scan type, however, should only have to be performed once.
  • Delta Scans - This scan type is initiated either manually (via clicking the “Scan Now” button) or automatically via the configured scan time. A delta scan touches all existing items in the index, but only makes updates to those items that have been flagged as being modified.
  • Incremental Scans – This scan type only applies to email data sources and attempts to only retrieve new and/or modified email items that have appeared since the last delta scan. Incremental scans are triggered via configured scan time, or manually via the “Scan Now” button. If starting an incremental scan is attempted, but more than 24 hours have passed since the last delta scan, then a delta scan is performed instead to ensure the most current result. 
     

Real Time Indexing:

  • Files Real-Time Indexing -  When the option for real-time indexing is enabled for the Files data source, new files will immediately be added to the index. This process is achieved by utilizing methods native to Windows to alert X1 Search about changes in the configured indexed directories, which triggers a process to add only those items flagged as new or modified to the index. 
  • Outlook Real-Time Indexing -  X1 Search leverages an Outlook plugin (the X1 Outlook RTI Add-in) to achieve real-time monitoring of new email and attachments. Therefore, if Outlook (and by extension the X1 Add-in) are not running or are misconfigured, Outlook RTI will not function properly. When all the required components are functional, new email items are added to the X1 Search index within seconds.
